It applies to information submitted directly by users, information generated while using the service, and information processed through integrated providers that help operate the service.
2. Information we collect
Account and profile information
When you create or manage an account, we may collect information such as your name, email address, password hash, phone number, brokerage name, website, role, and account preferences.
Transaction and timeline information
We collect information you enter or upload in connection with transactions, such as property addresses, dates, deadlines, notes, reminder settings, public timeline settings, and workflow updates. If you use team features, we may also process team membership, assignments, and workspace-related activity.
Uploaded documents and extraction data
If you upload purchase contracts, addenda, riders, or related PDF files, we process those files to help identify dates and terms for review. Those files may contain names, addresses, deal terms, signatures, and other information included in the documents you upload. We may store extracted fields, evidence snippets, confidence or validation metadata, user overrides, and logs related to the extraction workflow. We may also temporarily handle uploaded files as part of the processing pipeline.
Billing and subscription information
Payments are processed through Stripe. Deadline Monitor does not store full payment card numbers. We may receive and store billing-related records such as plan selections, subscription status, payment event identifiers, invoice references, customer identifiers, and transaction credits associated with your account.
Communications and support information
We may store email delivery records, reminder events, account verification events, password reset events, support requests, and related troubleshooting information when you contact us or when the platform sends account or transaction emails.
Technical and usage information
We may collect information such as IP address, browser type, request logs, device or session metadata, and feature usage needed to secure, maintain, and improve the service.
3. How we use information
We use information to operate the platform, including to:
- create and manage user accounts;
- build, store, update, and share transaction timelines;
- send reminder emails, verification emails, password reset emails, billing notices, and other service-related communications;
- process uploaded PDFs and generate extracted dates or terms for user review;
- process billing, plan access, credits, and subscription events;
- maintain platform security, prevent abuse, and investigate incidents;
- respond to support requests and troubleshoot account or transaction issues;
- improve platform reliability, performance, and workflow design.
4. How information is shared
We do not sell your personal information. We may share information with service providers that help operate Deadline Monitor, subject to their own terms and privacy practices. Those providers may include:
- Stripe for payments, subscriptions, billing events, and related customer records;
- SendGrid or similar email infrastructure providers for transactional email delivery;
- OpenAI for AI-assisted extraction or related processing tasks;
- Google Cloud Document AI or similar OCR/document-processing providers when document recognition or OCR processing is used;
- hosting and infrastructure providers used to operate and secure the application.
We may also share information when required to comply with law, enforce platform rights, protect users or the service, or as part of a business transfer such as a merger, acquisition, or asset sale.
Client-facing timeline links
If you enable a client-facing public timeline link, information you choose to expose through that feature may be viewable by anyone with the link. You are responsible for deciding when to enable that feature and what workflow information is appropriate to share with your clients.
5. Website analytics and cookies
Deadline Monitor may use analytics tools, such as Google Analytics, on public pages of the site to understand site traffic, page usage, and general engagement. Those tools may use cookies or similar technologies to collect information about browser activity, device information, and page interactions.
You can control cookies through your browser settings. Blocking certain cookies may affect how some parts of the site function.
6. Retention
We retain information for as long as reasonably necessary to operate the service, maintain account records, support legitimate business needs, comply with law, resolve disputes, and enforce our agreements. Specific retention periods may vary by data type, account status, and operational necessity. Temporary files related to PDF processing may be deleted on a shorter schedule than core timeline and account records.
7. Your choices
You may update certain account information inside the platform. You may also contact Deadline Monitor regarding account questions, data correction requests, or requests related to account closure. Some records may need to be retained for operational, billing, security, fraud-prevention, or legal reasons even after an account is closed.
Reminder emails and daily summary emails can be managed through transaction-level settings and reminder preferences inside the app.
8. Security
Deadline Monitor uses administrative, technical, and operational measures intended to protect information against unauthorized access, loss, misuse, or disclosure. No method of transmission or storage is perfectly secure, and no system can guarantee absolute security. Users should also protect their own credentials and maintain appropriate internal practices for handling transaction documents and client information.
